The Canton Fair is enormous. Without a clear plan, you can spend several days walking through exhibition halls, adding suppliers on WeChat and collecting business cards without gathering enough useful information to make a purchasing decision.

Start with a sourcing brief for each product you want to investigate. It should cover:

  • The product and intended use.
  • Important dimensions, materials and specifications.
  • Your expected first-order quantity.
  • The market where the product will be sold.
  • Logo, private label and packaging requirements.
  • Any known testing, certification or labelling requirements.
  • Your preferred production and delivery timing.
  • A realistic target price or landed-cost range, if known.

The purpose is simple: every serious supplier should be quoting roughly the same requirement. Otherwise, a cheaper quote may simply represent a different product.

Which Canton Fair phase should you attend in October 2026?

The Autumn Canton Fair is split into three phases because the exhibition covers such a wide range of industries.

Phase 1 runs from 15–19 October 2026. It focuses heavily on advanced manufacturing and includes categories such as electronics, electrical products, machinery, vehicles, hardware and tools.

Phase 2 runs from 23–27 October 2026. It includes many household, kitchen, gift, decoration, furniture and building-related product categories.

Phase 3 begins on 31 October and finishes on 4 November 2026. It includes clothing, textiles, bags, footwear, toys, personal care, health, food, sports and other consumer categories.

Do not try to visit every supplier

One of the easiest mistakes for first-time visitors is treating the fair like a race to collect as many contacts as possible.

Twenty useful supplier conversations are more valuable than two hundred business cards.

Start with the halls that match your product brief. When you reach a booth, quickly determine whether the supplier actually offers the type, quality and price level you need. If it clearly does not fit, move on.

Your objective should be to leave Guangzhou with a shortlist, not a suitcase full of catalogues.

Ask serious suppliers the same questions

Every supplier conversation will develop differently, so use a basic question list to make comparison easier afterwards.

  • Are you a manufacturer, trading company or both?
  • Where is this product actually manufactured?
  • What is the MOQ for the exact specification discussed?
  • What price breaks apply at larger quantities?
  • Which materials, colours or components can be customised?
  • What private label and packaging options are available?
  • What does a sample cost and how long will it take?
  • What is the expected production lead time?
  • What are the usual payment terms?
  • Which overseas markets do you currently supply?
  • What tests or certificates apply to this exact product?
  • Can the production facility be visited?

Do not assume a certificate displayed at the stand relates to the exact model you are considering. Ask for the relevant documents after the show so they can be checked properly.

A Canton Fair booth does not prove someone owns a factory

A professional exhibition stand, factory photographs and experienced salesperson do not prove that the exhibitor owns the production facility.

The company may be a manufacturer, a trading company, or a business that manufactures some products while outsourcing others.

There is nothing automatically wrong with using a trading company. In some categories, a good trading company can provide useful service and access to several factories. The problem is assuming you are dealing directly with a factory when that distinction matters to your order.

Take notes you can actually use afterwards

By the end of a long Canton Fair day, supplier conversations start to blur together.

For every serious candidate, record the company name, booth number, contact person, product discussed, MOQ, indicative price, sample requirements, claimed factory location and anything that needs to be confirmed later.

Photos are useful, but written notes are better for remembering why one supplier looked stronger than another.

A simple rating such as “strong”, “possible” or “no” can also make the follow-up much faster.

Do not treat the booth price as a final quotation

Prices given at trade shows are often indicative. The salesperson may not yet know your final material, packaging, quantity, testing requirements or shipping terms.

After the show, send your strongest suppliers the same written specification and ask each company for a formal quotation.

Compare the complete commercial offer, including:

  • Unit price.
  • MOQ.
  • Tooling or mould charges.
  • Packaging.
  • Sample costs.
  • Payment terms.
  • Production lead time.
  • Incoterms.
  • Testing or certification costs.

A supplier that appeared cheapest at the exhibition may become more expensive once all requirements are included.

Be careful with “Canton Fair only” deposit pressure

A supplier may offer a special fair price if you order immediately. That does not mean you should rush to pay a deposit.

Before transferring meaningful money to a new supplier, confirm the specification, supplier identity, payment beneficiary and sample requirements.

A face-to-face meeting reduces some uncertainty, but it does not replace proper checks.

If the product is customised, you should usually avoid approving mass production until you have a suitable sample and clear written specification.

Use samples to confirm what you are actually buying

The sample shown at the Canton Fair may not be the same product you eventually order.

If you change the colour, material, component, dimensions, logo or packaging, the finished specification can be materially different from the display sample.

For private label and customised products, make sure the final approved sample matches the written requirements before mass production begins.

Consider factory visits after the Canton Fair

Meeting a supplier in Guangzhou does not mean its factory is nearby. Exhibitors travel to the Canton Fair from manufacturing regions across China.

Before changing your travel plans, ask for the actual production address.

Do not leave the follow-up for several weeks. Within a few days of the exhibition, divide contacts into strong candidates, backup options and suppliers that are no longer suitable.

Then concentrate on the strongest group. Request formal quotations, order samples, verify missing information and arrange factory visits where the commercial risk justifies them.

Quality control should not start once the goods are already packed.
